Frequently Asked Questions for Alumni
The FAQs below address common alumni questions about the Reunion, and further information will be provided to alumni who register for the event.
Basic Information
Who is invited?
Members of Cohorts 1 – 10.
What are the dates?
April 22 – April 26, 2026. Activities will begin at 6:00 p.m. CST on April 22, 2026. April 27, 2026, is the departure date from hotels for C1-9 and will contain no programming. Please note the hotel cannot accommodate any room extensions. All C1-9 Scholars are required to depart the hotel by 11:00 a.m. CST on April 27, 2026.
What types of programming will be included at the Reunion?
Please check the “Agenda” section of the Reunion website for a high-level Reunion activities preview. Once you have registered, you will be able to access a more detailed agenda in the Whova event app. Agenda activities are subject to change.
How can I access the Whova event app?
Details have been sent to registered Scholars. You can access Whova by registering for an account using the name and email that you used for your Reunion registration. If you must use a different email address for any reason, please email logistics@schwarzmanscholars10reunion.org. You can access Whova through the Google Play or Apple App stores, and you can also access Whova’s webapp here. Further information on logging into Whova can be found here.
How do I register for the Reunion?
Registration for Scholars is now closed. Registered Scholars will receive regular updates via email.
How will updates be communicated?
Announcements will be shared by email and Whova app notifications after you download the app. Beginning on March 6, we will also send time-sensitive logistical updates via Lark / Feishu to ensure that you receive these notifications while traveling in China. Whova is the best way to stay current with organizer announcements, peer-to-peer messages, and meet-ups, while Lark / Feishu will contain only key organizer announcements.
What are the deadlines?
The deadline to book travel and share details with IIE has passed. The deadline to acquire a visa (if you need one) is March 6, 2026. If you will receive your visa later than this deadline due to extenuating circumstances, please email logistics@schwarzmanscholars10reunion.org with details of the delay. There will be additional deadlines to sign up for Reunion activities, which will be communicated to registered attendees.
What do I need to do now?
Please refer to the master deadlines list provided to you in fall 2025. If your passport information must change after you register, please email updates to logistics@schwarzmanscholars10reunion.org. Please reference the resource titled “Alumni e-Card and SIM Guide” in Whova when completing this step as outlined in the deadlines chart. We also suggest that you configure your payment method in the Alipay or WeChat apps so that you can use them for payment and ride-hailing.
Plus-Ones
May I bring a plus-one, family, or an additional personal guest?
Updated 1/21/26
You are welcome to bring a “plus-one”, defined as any additional personal guest other than yourself, including partners and family members. Plus-ones are welcome to attend the below activities, as long as the attendance of the plus-one was indicated in the December survey sent to Scholars. Plus-ones not registered in the December survey will not be admitted. The deadline for any name changes for plus-ones is March 6, 2026, and may be sent to logistics@schwarzmanscholars10reunion.org. Plus-ones are not permitted at any other official Reunion activities.
All hotel accommodations will be for one person per room. You are welcome to share your room and your free time with your plus-ones, but please note that additional charges may apply if the occupancy of your room exceeds two people (including yourself). Each hotel room can only be occupied by two people (over the age of 12), plus up to two children (under the age of 12). Any additional plus-ones (a third person over the age of 12, or a third child under the age of 12) will need to secure alternate accommodation at their expense. Any such additional charges will be your responsibility. The Institute of International Education (IIE) will not assist with travel for plus-ones, and visa invitation letters for plus-ones are not provided. Plus-ones may wish to apply for a tourist visa for China. Please note that the participation of plus-ones will be limited to the following activities:
- April 22, 6:00 p.m. – 9:00 p.m. | Welcome Reception. Seating is not provided. Children are welcome.
- April 23, 4:30 p.m. – 6:30 p.m. | Happy Hour Events. The Happy Hour will include pitches by Schwarzman Scholars entrepreneurs and a Scholar talent show. Only adult plus-ones are permitted.
- April 25, 6:30 p.m. – 9:30 p.m. | Reunion Reception, with an Afterparty to Follow. Seating is not provided. Only adult plus-ones are permitted.
- April 26, 9:00 a.m. – 12:00 p.m. | Optional Schwarzman College Visitor Hours. Only Scholars and registered guests are permitted. Please note: Alumni are responsible for registering their guests through their Tsinghua Alumni e-Card via WeChat.
Will there be any programming offered to plus-ones while Scholars are occupied with required activities?
There is no dedicated programming for plus-ones. Plus-ones and Scholars can feel free to self-organize tour activities. Please see the list of local recommendations in the Whova app, and feel free to share those with your plus-ones.
When can my plus-ones come to the College?
Saturday morning is the best time, when the building is only open to our community and your plus-ones. You must sign up in advance through the Whova app. To do so, please add your desired entry time window to your personal schedule in Whova. If an entry time is full, you can sign up for a waitlist. Building entry is not guaranteed for anyone who does not sign up for an entry time. Please be considerate of other Scholars by only signing up for one time window. The building will be open to the general public on Saturday afternoon and Sunday as well; however, during the public hours, only formal building tours will be offered. You can come other times that weekend but the building will be open to the wider Tsinghua community and we generally receive thousands of visitors on anniversary weekend.
Can we bring family onto campus on Sunday?
Yes, but please note the College is open to the general public that weekend and will be more crowded. You can register up to three guests to enter Tsinghua’s campus using your Alumni e-Card and its WeChat mini program.
Outside of the Reunion, are family and friends allowed to visit the College?
Unfortunately, that is usually not possible due to security measures in place to enter both Tsinghua and the College. You can find instructions on how to visit the College outside of the Reunion on the Alumni Platform here under the Help Tab > Visit Schwarzman College. You must have an appointment with a current staff/faculty member or Scholar. They must be with you the entire time of your visit and are responsible for you as a visitor.
Will plus-ones have access to the communication/conference apps?
No, you’ll need to share information with them.
Is there a limit on how many guests someone could bring in using the Alumni e-Card Mini WeChat program?
Yes. In prior years, this limit was three guests. Tsinghua may impose a lower limit this year. We will reach out to inform you when we receive updated guidance from Tsinghua.
Financial Information
What is the cost to attend?
There is no fee to attend. Your $250 refundable deposit will be returned to you after you attend the event.
What costs will be covered?
The following costs will be covered for alumni and current Scholars who register, meet all deadlines, and complete payment of their deposits:

- Short-term health insurance for the Reunion dates for alumni.
- One-way ground transportation from the hotel to Tsinghua University on Friday, April 24, 2026.
Are there any expected out-of-pocket costs to attend?
The following costs are NOT provided by Schwarzman Scholars:
- Any costs incurred by you extending your hotel stay or changing your airfare.
- Travel, meals, and entertainment for plus-ones as well as any additional costs charged by a hotel in connection with a plus-one’s accommodation. Please consult the plus-ones resource document in Whova after registering for further details.
- Some hotel rooms will have one large bed, while others will have two twin beds. If an additional folding bed is required (e.g. to accommodate plus-ones), this will be subject to prevailing hotel rates. Depending on the hotel property you are placed into, this will be ¥ 385 – 550 per person per night.
- Room service, laundry, minibar, or other incidental charges incurred by you or your plus-ones, including, but not limited to, smoking, excessive trash, damage etc. as determined by the hotel. All guests will be required to provide a credit card at check-in and may be required to put down a refundable deposit until the room is cleared at the end of stay, and any charges accounted for.
- Ground transportation between home and airport, Beijing airports and the hotel venue, visa costs, any incidental costs during travel, and self-organized activities/excursions in Beijing.
- International roaming charges or local mobile data plans.
- Travel to and from Tsinghua University on April 25 – April 26, 2026, as well as return ground transportation from Tsinghua University to the Reunion hotel on April 24, 2026.
Is there additional financial assistance available to cover the cost to attend the Reunion?
IIE will offer need-based support to eligible alumni requiring additional financial assistance. Requests for additional financial support will require proof of need and will be subject to case-by-case approval. IIE’s need-based financial support will not be available to cover costs relating to plus-ones. Additional details on need-based funding eligibility were shared by IIE in September 2025. For further questions about flights, travel and/or reimbursements, please contact IIE at ssp-stipends@iie.org.
Do I have to stay at the arranged hotel? Can I arrange my own accommodation and get reimbursed?
You may choose between the hotel room provided or to arrange your own accommodation. Reimbursement for self-arranged accommodation is not provided, nor is ground transportation to/from self-arranged accommodation to Reunion program venues.
Since there are four hotel options, may I request a specific one or a specific room type?
Requests for a specific hotel cannot be accommodated. Requests for specific types of rooms (twin or king bed) were accepted in the December survey sent to Scholars. We cannot guarantee that these requests will be accommodated.
Flight & Travel Information
Is travel funded?
IIE will offer round-trip economy class airfare to alumni living outside of China who will be traveling to attend the Reunion. Dates must be inclusive of the Reunion, but arrival/departure can be before or after the event. You are responsible for ensuring you do not overstay your visa. Please note that all international flights must be booked through IIE, and reimbursement will not be available for international flights booked independently. IIE will reimburse alumni living inside China for certain travel costs. All international flights were finalized by the end of January, 2026. All alumni, regardless of whether they book travel with IIE, were required to report their arrival and departure dates and times to IIE through IIE’s survey, by January 25, 2026. For alumni traveling to the Reunion from within China, the deadline to submit receipts documenting travel expenses for reimbursement by IIE is May 31, 2026. For further questions about flights, please contact IIE at SSP-Stipends@iie.org. You are responsible for all other costs, including but not limited to, ground transportation between home and airport, Beijing airports and the hotel venue, visa (including transit) costs, any incidental costs during travel (including changing flights), and self-organized activities/excursions in Beijing. IIE will offer need-based support to eligible alumni requiring assistance with these costs.
When should I return home?
- For Cohorts 1 – 9: please plan to depart on April 26 or April 27, 2026. Departing prior to April 26, 2026, may result in the forfeiture of the $250 USD deposit. Final check-out for all hotels is by 11:00 a.m. CST on April 27, 2026.
- For Cohort 10: please be prepared to check out by 11:00 a.m. CST on April 26, 2026.
How many vacation/personal days do I need to request from work in order to attend?
This will depend on where you’re located. We encourage you to consider the travel time to and from Beijing when requesting time off.
What if I need to change my flight after booking?
If there is a need to change the flight after booking, alumni must inform IIE immediately. Changes must be made via IIE by calling the number below, and any associated fees will be your responsibility. Please note that IIE reserves the right to revoke the ticket should flight itinerary changes lead to travel misaligning with the 10-Year Global Alumni Reunion, defined as arriving after 11:59 p.m. CST on April 22 or departing before April 26.
For flight changes needed after initial flights are booked with IIE, the IIE Travel Team should be contacted directly at: 1-212-798-1634. Agents are available 8:00 a.m.–8:00 p.m. EST, Monday – Friday. Meeting ID-0GGF-33943 should be referenced. There will likely be a change fee that you must pay with a credit card when calling. Questions or issues should be emailed to SSP-Stipends@iie.org.
What if I need to arrive late or depart early?
All alumni attending the event should arrive in Beijing before 11:59 p.m. CST on April 22 and depart 12:00 a.m. CST April 26 or later. Flights will not be funded for itineraries that do not meet these arrival and departure requirements, but accommodation and other included costs will be funded, so long as you notify Schwarzman Scholars and IIE of your itinerary. Alumni who do not attend the event in full may have their hotel room reservation cancelled if they do not notify Schwarzman Scholars ahead of the event, with accommodation costs then being their sole responsibility. In addition, their flight booked by IIE may be canceled (if applicable), they may be ineligible for their travel costs within China to be reimbursed, and/or the $250 USD registration deposit may be withheld, unless proof of a travel delay or airline-initiated flight cancellation is provided. If alumni change their arrival and departure dates after submitting this survey, they are welcome to attend the reunion, but must notify logistics@schwarzmanscholars10reunion.org prior to the event.
Can I arrive early or depart late if I want to travel before or after the Reunion?
Yes, as long as you inform IIE when booking your flight and the airfare is compatible with a round-trip ticket to and from Beijing for the dates of the event. You will be responsible for all other lodging and costs associated with a longer stay outside of the dates of the event, and for booking lengths of stay that are representative of the limits of your visa.
Where should I direct questions about travel stipends and reimbursements?
Please email SSP-Stipends@iie.org
I have to update my passport and I already had IIE book my flight. What should I do?
Email both logistics@schwarzmanscholars10reunion.org and ssp-stipends@iie.org so they are aware. This may impact your flight reservation.
How do you recommend that I get from the airport to the Reunion hotel?
Scholars are responsible for their own airport transfers. Transfer is possible via subway, bus, taxi, or ride-hailing apps. We recommend taking a taxi or using ride-hailing for simplicity.
What is the recommended ride-share app of choice? Should I use it within WeChat or AliPay’s mini program, or download separately?
We suggest using the Didi mini-program in the Alipay app. Make sure to configure your payment method before you arrive in China.
When will we receive information regarding health insurance coverage when we are in China?
This will be available about one month prior to the Reunion.
Hotel & Accommodation
Will we have our own hotel room or be partnered with another Scholar?
Each Scholar will be given their own hotel room, unless you requested to share a hotel room with a partner in the December survey.
When will we be notified which hotels we are staying at?
Hotel booking confirmations have been sent to all registered Scholars using the email provided when you registered. If you have not received the confirmation, please check your spam folder, and reach out by emailing logistics@schwarzmanscholars10reunion.org.
Visa Information
Who is responsible for handling visa matters?
We will provide you with visa guidelines and invitation letters when necessary and individualized advice on visa applications upon request. However, the final responsibility lies with you to acquire a visa, including any transit visas in connection with a flight transfer, if one is necessary. Visa-related questions should be directed to logistics@schwarzmanscholars10reunion.org. The following summaries are for information purposes only, and Schwarzman Scholars will not be deemed to be providing legal or immigration advice.
What is the first step for visa matters?
- First, check your passport expiration date. China does not issue visas or allow entry to China to people with passports expiring within six months, so if your passport expires before November 1, 2026, we suggest renewing it prior to registering so that you can more easily book flights and register for the event. Even if your home country has a visa waiver to China, you will still need (i) at least six months of passport validity from your date of entry to China, and (ii) two blank pages in your passport, excluding endorsement pages.
- Second, please check if you need a visa to go to China.
- Third, if you need to apply for a visa, you should make a plan for when you will apply. The deadline to get a visa is March 6, 2026, but please bear in mind that Chinese consulates will be closed for the Chinese New Year holiday, most likely between February 16 – 23, 2026. While the Reunion logistics team will be available to answer questions by email, Schwarzman College will be closed for five weeks during the Chinese New Year holiday and may be unable to issue visa invitation letters during the closure.
How do I know if I need a visa?
You should plan on applying for a visa, unless you are a citizen of a country with a Chinese visa waiver or you already have a Chinese visa active for entry after April 22, 2026. China maintains permanent mutual visa exemptions for ordinary passport holders of 25 countries. Furthermore, China has temporary unilateral visa waivers for an additional 45 countries (as of November, 2025). You can see both country lists here for reference, although you should always verify this information on the official Chinese embassy website in your home country. Once you register for the Reunion, please check the visa guidance documentation, which will be available in the Whova event app. If you are a citizen of a country on the temporary unilateral visa waiver list, you should make sure to check the Chinese embassy website in your home country to confirm that the visa waiver for your country has been extended until after April 27, 2026. Guidance will likely be available in December 2025 about extensions.
What if I already have a multi-entry Chinese visa for a different purpose (for example, a business M visa)?
If you have an active multi-entry visa that allows entry after April 22, 2026, then you do not need to cancel your old visa to get a new one. Simply travel on your existing active multi-entry visa. At immigration and on your arrival card, declare the purpose of your visit that matches your visa type. Of course, if your old visa was a single-entry visa that you’ve already used, then you will need a new visa.
I already have an active multi-entry Chinese visa, but I have since renewed my passport. Can I use a visa issued to my expired passport?
You can use an active China visa, even if it is on an expired passport, under certain conditions. First, the visa does need to be active: it needs to be a multi-entry visa that allows entry after April 22, 2026. Second, your nationality and name listed on your old passport needs to be the same as the one on your current passport. Third, you will need to bring both your current passport and the expired passport that contains your active China visa with you on your trip. If you do not meet all of these requirements, you should apply for a new visa unless your country is on the visa waiver list described above.
What kind of visa should I get?
Visa guidance will vary based on your nationality and other circumstances. Once you register for the event, you will have access to a general visa guidance document, and you will also have the ability to request individualized guidance from our logistics team by emailing logistics@schwarzmanscholars10reunion.org. We will support your visa with the corresponding necessary invitation letters or hotel booking confirmations if we see that your visa status and country of citizenship require it. If you are a citizen of a visa waiver country or otherwise wish to apply for an F conference visa to replace an existing active visa, please email your request along with your passport identification page to logistics@schwarzmanscholars10Reunion.org no later than December 15, 2025.
What if I’m a dual citizen?
If both of your passports have similar visa policies for China (e.g. both are visa-exempt, or neither are visa-exempt), then we suggest traveling and applying with the passport of the country in which you reside. If you are a dual citizen and only one of your passports is a country with a visa waiver for China, we suggest that you present the passport to Chinese immigration which will avoid the need to apply for a visa. You are allowed to present one passport to your home country’s immigration exit checkpoint and present your other passport to Chinese immigration. In such an instance, just be sure that you enter and exit China on the same passport, even if that is different from the one that you use to exit and re-enter your home country. Specific guidance will vary case-by-case, and we encourage you to reach out to logistics@schwarzmanscholars10reunion.org with any questions.
Where do I apply for a Chinese visa?
You will need to submit your visa application to the Chinese consulate that has jurisdiction over you. You cannot apply for a visa in a third country that you are visiting, unless you have residency in that third country. Please note that some countries such as the US have multiple Chinese consulates, and you should apply to the consulate that has jurisdiction over your home address. You will first complete the online China visa application, gather the necessary application documents, and get passport photos printed that match the requirements. After submitting online, you will then present your documents to the Chinese consulate and pick them up several business days later with your visa. In many countries, you have the option to use a visa processing agent such as CIBT. Processing agents do bear added fees and involve you mailing your passport, but you may find that to be more convenient if you live far away from your Chinese consulate. If your consulate allows this, you can feel free to explore this option at your own expense.
At Chinese immigration, what should I state as the purpose of my trip?
When you enter China, immigration will ask you to fill out an entry card which will ask you what the purpose of your trip is. You should select the purpose of visit that matches your visa classification. Please see the visa guidance page in Whova once you have completed your registration.
Is there any flexibility for the March 6 deadline to get my Chinese visa?
In some circumstances, extensions of the deadline will be considered, for example if the consulate only lets you apply for a visa one month prior to travel or for conflicting travel plans. Please send any requests to logistics@schwarzmanscholars10reunion.org.
If I have other intended purposes for personal travel before or after the Reunion. Can I apply for another visa type, such as tourist, family visit, or business?
Our official guidance is to apply for an F visa with the invitation letter given to you. However, you are welcome to apply for another visa if you choose to do so. Our invitation letter will only support an F visa, so please ensure that you have the supporting documents needed for any other visa application. You can only hold one Chinese visa at a time, so you should choose what visa to apply for. Please ensure that your intended purpose for your trip that you declare at immigration aligns with your visa class.
Are there visa services that we can use so we don't have to personally go to the consulate, or is it required to go in person?
Consulates in some countries allow applicants to use visa processing agents such as CIBT. If your consulate allows this, you can feel free to explore this option at your own expense.
I have the visa already but sometimes the visa officers will ask for a letter for the specific trip you are on.
Visa letters were sent to alumni who requested them. If you need a visa letter and have not received one, please reach out to logistics@schwarzmanscholars10reunion.org
Packing and Pre-Departure
What should I bring to China?
We suggest that you bring three casual outfits, one business casual outfit, one business formal outfit or “Schwarz-Formal” that includes your Schwarzman Scholars scarf or tie if you still have it, and a “festive formal” cocktail outfit for the Reunion Reception, along with any outfits that you would like to wear for your travel days and for lounging in your room or exploring the city after hours. Please be sure to bring sufficient prescription medication that you require for the duration of your stay (appropriately labeled and with a label that matches your own name). We also recommend bringing business cards, small token gifts for your friends, an N95 mask, and power adapters for your electronic devices.
Do credit cards work in China? How do I set up WeChat payment or Alipay?
Credit cards are accepted at international shops and restaurants, but we suggest that you set up Alipay before departing. A setup guide can be found here. Payment using international cards is also possible with WeChat pay.
What if I need to get a phone or SIM card?
A local phone number is useful but not essential in China. The process of registering a local phone number in China can be time-consuming. You have the choice of using your current provider’s mobile data roaming service, or you can purchase a travel data package from a third-party provider. Your options will depend on whether your phone has an e-SIM or a physical SIM card, whether your phone is locked to a particular phone company, and availability in your home country. We encourage you to make use of either mobile data roaming or a traveler data package and to research the best option for your individual needs. Please see the resource titled “Alumni e-Card and SIM Guide” in Whova.
If we no longer have our scarves/ties, is there a way to get replacements?
No.
Is there a dress code?
Dress codes are listed in the agenda in Whova. Dress for April 22 is business casual. Dress for April 23 as well as daytime activities on April 25-26 is casual. Dress for the morning of April 24 is Schwarz-Formal. Please bring your scarf or tie if you have it. Dress for the evening of April 25 is cocktail / formal festive.
Registration
What should I do if I have dietary restrictions or am a person with a disability?
If you require any special accommodations emerging from a dietary restriction or a disability, please indicate this on your registration form so that we can accommodate your needs. If this arises after registration, please email logistics@schwarzmanscholars10reunion.org.
How can I update my email on file with the Reunion?
Please email both logistics@schwarzmanscholars10reunion.org and ssp-stipends@iie.org.
Agenda
Where can I find the agenda?
Please check the agenda in the Whova app.
Are all sessions mandatory? What if I need to work remotely for part of the event?
We encourage full participation to get the most out of the Reunion. Daytime programming on Friday April 24, 2026, and the Reunion Reception on Saturday April 25, 2026, are mandatory.
How can I host an unofficial meet-up or presentation?
You can do so using the “meet-ups” function in Whova. Please check the “How to Create a Meet-Up” resource in Whova for more information.
Will there be exercise classes available?
Your hotel gym may have classes that you can register for. Please be aware that you can only access the gym at the hotel to which you’ve been assigned. You are also free to organize a fitness-oriented unofficial gathering (such as a bike ride or a jog) using the “meet-ups” function in Whova. Please check the “How to Create a Meet-Up” resource in Whova for more information.
Communication Tools
How will updates be shared with Scholars and staff?
Announcements will be shared by email and Whova app notifications after you download the app. Beginning on March 6, we will also send time-sensitive logistical updates via Lark / Feishu to ensure that you receive these notifications while traveling in China. Whova is the best way to stay current with organizer announcements, peer-to-peer messages, and meet-ups you’re joining, while Lark / Feishu will contain only key organizer announcements.
How can I log into Whova? Will I be affected if I am using a temporary phone number?
You can log into the Whova app before you leave for China. Whova occasionally asks for 2FA confirmation codes, sent by email, if you are using the web or desktop version. You can avoid this by using the mobile app and logging in before you leave for China.
When will we receive a complete list of attendees, including former scholars, faculty and other guests?
The Whova app will be available on February 10 and will include a list of attendees for you to browse.
Will there be a list of Scholar arrival times so we can arrange gatherings before the Reunion?
Unfortunately, we aren’t able to disclose this information due to privacy issues, but you’re welcome to create this document for yourselves, either in the Whova community board or elsewhere.
